This notice describes the contact and employment intake features on this site. Effective when these features are published.

Information you provide

Contact messages include your name, email address, optional phone number, location, reason and message. Applications include the details and optional responses you choose to submit, reference and employment information, and your electronic signature. The system records the submission time and review history. Do not submit Social Security numbers, payment information, identification documents, medical details or family medical history.

Use and access

Management uses messages to respond to inquiries and applications to consider employment and maintain records. Access is restricted to authorized staff and necessary hosting and email service providers. Email alerts identify new submissions without attaching complete applications. Submitted records may be downloaded by authorized staff. These intake features contain no advertising trackers. Boomtown Vapor does not sell the information submitted through these forms.

Human review and assistance tools

Management may use approved tools to organize or summarize applications, including AI-assisted tools under human supervision. The site itself does not transmit applicant data to an AI service, calculate an applicant suitability score or make automatic employment decisions. Contact-reduced exports are available to staff, but free-text responses still require review before sharing with any outside service.

Cookies and location

Essential session cookies protect forms and administrator access. The existing store finder remembers a selected store in local browser storage. These intake forms do not request geolocation or attach coordinates to applications or messages. Map links open an outside map provider, whose own privacy terms apply.

Security and retention

These forms require a secure HTTPS connection. Submitted records are encrypted in server-side storage outside the public website directory. Rate limits use keyed hashes of network addresses rather than placing raw IP addresses in application records; hosting security logs may still contain standard connection information. No system can guarantee absolute security. Application records are scheduled for retention review no earlier than four years after the latest recorded action (seven for an application marked hired) by default; contact messages use a one-year review interval. These are review intervals, not automatic deletion dates. Required retention and legal holds may extend storage. Exported copies and backups must be controlled separately.

Your questions and requests

Use Contact us and select “Privacy / data request” to ask about access, corrections or deletion. We may need to verify the request, and legal retention duties may limit deletion. Do not send identity documents through the contact form. For application assistance, choose the accommodation category without including medical details. If online forms are unavailable, use the store contact options.
